Legal — Subcubic Tools
Privacy Policy

1. Who we are
Subcubic Tools is operated by Subcubic LLC, a New York limited liability company (“Subcubic”, “we”, “us”, “our”). tools.subcubic.com hosts a small set of free, self-serve calculators and graders for small and mid-sized businesses.
This policy explains what data we collect from people who use those tools, how we use it, who we share it with, and what rights you have. It applies only to tools.subcubic.com. The main Subcubic consulting site (subcubic.com) has its own privacy policy.
2. What we collect
While you use a tool, your inputs (the numbers and choices you type or move sliders to) live in your browser only. We do not see them, log them, or transmit them anywhere unless you actively choose to submit them.
When you request a report by email, you submit the following:
- Your first and last name
- Your email address
- The inputs you entered into the tool and the result the tool computed for you
At the same time, our server records a small amount of technical metadata about the request:
- Your IP address (used briefly for rate limiting and stored with the submission)
- The User-Agent string sent by your browser
- The Referer URL (so we know which page sent you to the tool)
- A UTC timestamp
We do not collect phone numbers, payment information, or SMS consent through tools.subcubic.com.
3. How we use it
- To send you the report you specifically requested, by email
- To follow up with you about Subcubic services that may be relevant to the result you saw. You can opt out of follow-up at any time by replying “unsubscribe” to any of our emails or by emailing us directly
- To enforce reasonable rate limits on the submission endpoint (so a single source can't overwhelm the tool)
- To compile aggregated, de-identified statistics about how the tools are used (e.g. “X% of submitters had after-hours miss rates above Y%”) so we can write content and improve the tools
We do not sell, rent, or trade your personal information for marketing purposes.
4. Sub-processors we share data with
We use the following service providers to actually deliver the tools. Each one only receives the data they need to perform their function on our behalf, and each is contractually obligated to handle it confidentially:
- Vercel — hosts the website and runs the serverless functions that handle your submission. Vercel automatically logs basic request metadata for operational purposes.
- Turso — stores submissions in a hosted libSQL database.
- Resend — delivers the report email to your inbox. Resend processes your email address and the report contents.
- GoHighLevel — our customer relationship management (CRM) system, where your contact information is stored so we can follow up with you.
We may also share information when required by law (subpoena, court order, etc.) or as part of a business transfer (merger, acquisition, sale of assets).
5. How long we keep it
We keep your submission and contact information until you ask us to delete it, or until we determine we no longer have a legitimate business reason to retain it (typically: as long as you remain a prospect or customer, plus a reasonable period afterward for legal and accounting purposes).
IP addresses used for rate limiting live in server memory only and are discarded automatically when the rate-limit window elapses or the server restarts.
6. Security
We protect your information with industry-standard measures: data is transmitted over HTTPS, our database is access-controlled and authenticated via short-lived tokens, and only personnel who need access to your information have it.
No system is perfectly secure. We will notify you in accordance with applicable law if we become aware of a security incident affecting your information.
7. Your rights
Depending on where you live, you may have the right to:
- Ask what personal information we hold about you
- Ask us to correct information that is inaccurate
- Ask us to delete your information
- Ask us to export your information in a portable format
- Object to or restrict our processing of your information for marketing purposes
To exercise any of these rights, email hello@subcubic.com and we will respond within a reasonable timeframe.
8. Cookies and analytics
tools.subcubic.com itself does not set marketing or tracking cookies. Vercel, our hosting provider, may collect minimal, aggregated analytics about page views and performance for operational purposes; this data is not tied to your identity.
9. Children
tools.subcubic.com is intended for business owners and operators. It is not directed at children under 16, and we do not knowingly collect personal information from children. If you believe a child has submitted information to us, please email hello@subcubic.com and we will delete it.
10. Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top of this page reflects the most recent version. Material changes will be highlighted when they take effect.
